AI Tool Admin

elasticBangalore, India

Job description

Elastic, the Search AI Company, enables everyone to find the answers they need in real time, using all their data, at scale — unleashing the potential of businesses and people. The Elastic Search AI Platform, used by more than 50% of the Fortune 500, brings together the precision of search and the intelligence of AI to enable everyone to accelerate the results that matter. By taking advantage of all structured and unstructured data — securing and protecting private information more effectively — Elastic’s complete, cloud-based solutions for search, security, and observability help organizations deliver on the promise of AI.

What is The Role

At Elastic, we have a simple goal: to pursue the world's data problems with products that delight and inspire. We help people around the world do extraordinary things with their data. From stock quotes to Twitter streams, Apache logs to WordPress blogs, our products are extending what's possible with data, delivering on the promise that good things come from connecting the dots. Often, what you can do with our products is only limited by what you can dream up. We believe that diversity drives our vibe. We unite employees across 30+ countries into one unified team, while the broader community spans across over 100 countries.

Elastic, makers of the hugely popular open source products Elasticsearch, Kibana, Logstash, and Beats, is growing very fast and so is our marketing team. As a key member of the Marketing AI, Operations and Automation team, you will play a hands-on, critical role in governing and administering the marketing AI tool stack that teams across the organisation depend on. From configuring tools at the system level to reviewing AI-generated content before it goes live, you will be the operational backbone that keeps marketing AI running consistently, safely, and at scale.

Elastic is looking for a flexible and adaptable person with the ability to manage a variety of governance and administration responsibilities across a growing set of AI tools and platforms. This is an ideal position for a self-motivated individual who has experience administering enterprise marketing technology, is process oriented, and has the ability to work in a fast-paced, distributed environment.

What You Will Be Doing

  • Own the AI-level configuration, system prompts, and governance standards for every tool in the approved marketing AI stack, ensuring consistency across the organisation rather than tool-by-tool drift.
  • Act as the human review layer for AI-generated content and submissions, serving as the final checkpoint before anything goes live when agents flag warnings.
  • Enforce the tool ownership model, ensuring every approved marketing AI tool has a named owner assigned before teams begin using it.
  • Maintain the internal prompt library, approved-use guidelines, and minimum starting prompts available to marketers across the organisation.
  • Partner with the Marketing AI Engineer to onboard new tools and workflows through the appropriate approval processes.
  • Surface tool-level usage patterns and review volume to inform resourcing and governance decisions as the team scales.
  • Assist in maintaining internal documentation across team knowledge bases, wikis, and the playbooks.

What You Bring

  • 3+ years in a marketing operations or marketing technology role with tool administration responsibilities.
  • Hands-on experience working with at least one enterprise AI or generative AI platform at an organisational level, such as Jasper, Writer, or Adobe Firefly.
  • Demonstrated understanding of system-level prompt architecture and how AI configuration affects output quality and consistency across teams.
  • Strong process orientation with the ability to build governance workflows and documentation standards from scratch.
  • Familiarity with Marketo, Workfront, or similar enterprise marketing platforms.
  • Clear, precise written communication and strong attention to detail.
  • Experience working across globally distributed teams spanning AMER, EMEA, and APJ.
